Tasks

Tasks are to-do items that help your team stay on top of follow-ups. Each task is a single action item — follow up with a lead, send a proposal, review a form submission — that you can link to a contact and/or deal, assign to a team member, and give a due date.

Design philosophy: Tasks are intentionally simple — title, due date, checkbox. Gordon CRM is not a project management tool. Tasks keep your team accountable for CRM-specific follow-ups.

Creating Tasks

You can create tasks from three places:

From the Tasks Page

  1. Navigate to Tasks in the sidebar.
  2. Click Add Task.
  3. Fill in the title (required), due date, description, and optionally link a contact and/or deal.
  4. Assign the task to a team member.
  5. Click Save.

From a Contact's Detail Page

Click + Add Task on any contact's detail page. The contact is automatically linked to the new task.

Example: After a discovery call with a prospect, open their contact page and click + Add Task → "Send proposal by Friday." The task is automatically linked to that contact, assigned to you, and will appear in your daily digest when it's due.

From a Deal's Detail Page

Click + Add Task on any deal's detail page. Both the deal and its linked contact are automatically linked to the new task.

Smart Contact & Deal Linking

When creating a task, the contact and deal pickers work together:

  • Selecting a deal automatically fills in the contact linked to that deal.
  • Selecting a contact filters the deal list to only show that contact's deals.
  • Changing the contact clears any incompatible deal selection.

This ensures tasks are always linked to the right contact-deal combination.

The Tasks Page

The Tasks page is your central hub for managing all tasks in the workspace.

By default, you see only your open tasks — the most relevant view for daily work.

Sorting

  • Open tasks — Sorted by due date (overdue first, then soonest due, then no due date).
  • Completed tasks — Sorted by completion date (most recently completed first).

The Task Detail View

Click any task to open its detail view, where you can:

  • View and edit all task fields (title, description, due date, contact, deal, assignee)
  • Mark the task as complete or reopen it
  • Add and manage task notes

Clicking a task in Global Search results takes you straight to its detail view.

Completing and Reopening Tasks

Every task has a one-click completion toggle:

  • Complete — Check the green checkbox to mark the task as done. A completion timestamp is recorded.
  • Reopen — Uncheck the box to reopen a completed task. The task re-enters the daily digest cycle so you'll be reminded again.

This toggle is available on the Tasks page, the task detail view, contact detail pages, deal detail pages, and the dashboard widget.

Completed Today

When you complete a task, it doesn't disappear immediately. It moves to a "Completed Today" section at the bottom of the task list — shown with strikethrough text so you can quickly see what you've accomplished. Tasks in this section can be reopened with one click if completed by mistake.

The Completed Today section appears in all task areas (Tasks page, dashboard widget, contact detail, deal detail) and respects the active assignee filter.

Dashboard Widget

The main dashboard includes a "My Tasks Due" widget showing:

  • Your open tasks that are due today or overdue
  • Up to 5 tasks with a "View all" link to the Tasks page
  • A Completed Today section below the open tasks
  • Clicking a task opens the full detail view

Example: Start your morning by checking the dashboard. The "My Tasks Due" widget shows you exactly what needs attention today — no need to navigate to the Tasks page.

Automation Integration

Tasks can be created automatically by automations. When a trigger fires (form submitted, deal stage changed, tag applied, etc.), an automation can create a task linked to the triggering contact with a preconfigured title, description, assignee, and due date.

Example: Set up an automation: "When a contact submits the inquiry form → create a task 'Follow up within 24 hours' assigned to the sales lead, due tomorrow." Your team never misses a follow-up.

Daily Task Digest

Every morning, Gordon CRM sends each team member a summary email listing their tasks that are due today or overdue. See Daily Task Digest for details.
